- Coordinate with sales team to effectively support the sales, order, and delivery processes
- Order equipment with the factory and vendors as stipulated on orders
- Ensure order entry and customer communications are performed with utmost accuracy and attention to detail; verifies customer billing information, matches customer purchase authorizations or purchase orders to ensure accuracy for invoicing
- Provide support to the sales team with rapid response to requests for information, assistance and other inquiries pertaining to orders, time frames and customer service
- Coordinate day-to-day activities for order fulfillment and logistics with various internal departments and customers; clearly communicate all details pertaining to orders, changes, exceptions
- Communicate changes in scheduling to appropriate parties both internally and externally
- Follow order/delivery process throughout to verify accurate completion of all related tasks and complete customer satisfaction
- Provide reports on sales and order activity
- Work with accounting team members on receivables and billing to resolve issues as they arise to ensure timely payment and complete customer satisfaction
KNOWLEDGE, SKILLS & ABILITIES
- Knowledge of general office business practices, preferably in a sales environment
- Knowledge and confidence in using Microsoft Office (Word, Excel, Outlook) applications as well as web applications as needed
- Ability to prioritize workload and maintain flexibility while working as part of a team
- Ability to multi-task and remain focused while working in a fast-paced environment
- Ability and aptitude to learn company systems and applications relating to work tasks (specific systems training will be provided)
- Exceptional Organizational Skills; Extreme attention to detail
- Strong business verbal and written communication skills
- Exceptional Phone and Customer Service Skills
- Some overtime hours may be required as business and deadlines demand
QUALIFICATIONS
- High School diploma required; Some college preferred
- 3 -5 years' experience working in a professional administrative environment
- Sales coordination experience highly desirable
- Confident computer skills including use of Microsoft Word, Outlook and Excel
- CRM software experience preferred
- Strong organizational skills
- Ability to multi-task in a fast-paced environment
- IRIUM experience desirable, but not required
