Field Service Administrative Coordinator

 

Arbor is looking for a driven individual with a strong administrative background for a Field Service Coordinator position in our Breinigsville, PA location. This person needs to be able to work independently, while being able to work in cross functional teams. Arbor seeks out those looking to work in a dynamic industry and business environment. This position will report directly to our Service Supervisor.

In this role, you will perform administrative support functions for a group of field service technicians who are on the road working at various customer locations. You are the coordinating link between customer service requests, billing, warranty services and all aspects relating to providing our customers with superior customer service.

AREAS OF RESPONSIBILITY

  • Dispatching
    • Open Online Account service calls in business system (IRIUM)
    • Work with service coordination to ensure all calls/SM’s are completed by deadline
  • Billing
    • Review invoices with technicians as needed
    • Insure all labor and parts are posted on invoice
    • Enter work order data in SAP
    • Close invoice
  • Process, track and finalize all Warranty claims
    • Review and resolve unpaid claims
    • Process truck installations
    • Ensure correct unit information within SAP and Irium (UIO)
    • Communicate with technicians and coordinators for timely work completion including return of parts needed.

  • Administration
    • Track all open Online Account jobs waiting PO and update as needed
    • Close all open Online Account work orders that are not awaiting parts
    • Create SM lists for Online Accounts and work with service coordinators to complete
    • Review / resolve unpaid claims
    • Communicate account changes with service coordinators, technicians, and management

SKILLS/REQUIREMENTS

  • High School Diploma required; 2-4 years' experience in a professional office setting preferred
  • Confident skill level using Microsoft Word, Outlook and Excel
  • IRIUM experience desirable, but not required
  • Strong Business Oral / Writing skills
  • Ability to work in a fast-paced environment

  • Multi-tasking and ability to remain focused
  • Exceptional Phone Skills
  • Exceptional Organizational Skills
  • Some overtime hours may be required as business and deadlines demand

  • Starting $16.00-$18.00 (qualification dependent)
